Terms & conditions.

These terms govern the wholesale, trade-only services KRÖFT provides to travel-industry partners. By enquiring or making a booking with us, you agree to them. Where a separate written agreement is in place between KRÖFT and a partner, that agreement prevails over these terms to the extent of any conflict.

01Definitions

In these terms: "KRÖFT" (also "we", "us", "our") means the destination management company providing the services; "partner" (also "you") means the travel agency, designer, concierge service, hotel or operator engaging us; "client" or "traveller" means the partner's customer who travels; and "supplier" means an independent provider — guide, driver, venue, property or experience host — engaged to deliver part of a journey.

02Who these apply to

KRÖFT works exclusively with the travel trade and does not contract with travellers directly. These terms apply to partners — agencies, designers, concierges, hotels and operators — who engage us on behalf of their clients. The partner retains the relationship with, and responsibility to, their client.

03Our services

We provide wholesale, white-label destination management in Japan: bespoke and packaged itinerary design, guide and supplier coordination, reservations, transport and logistics, and on-the-ground support. We act as organiser and coordinator of services that are delivered both by us and by independent suppliers. We may also share trade information and recommendations with partners by email or other means.

04Quotations & pricing

Quotations are issued on a net, wholesale basis for the partner to mark up at their discretion. Prices are based on the requirements and rates current at the time of quoting, and may change until a booking is confirmed — for example with currency movement, supplier availability, group size or seasonality. Unless stated otherwise, a quotation is valid for the period noted within it.

05Bookings & deposits

A booking is confirmed once we receive the agreed deposit and written confirmation of the arrangements. Depending on the request, a non-refundable planning fee or deposit may be required to secure arrangements in advance; this will be made clear during the initial consultation.

06Payment

The balance is due before travel, by the date stated on the confirmation. Late payment may result in arrangements being released. All amounts are payable in the currency stated on the invoice. Bank charges and currency-conversion costs are the partner's responsibility unless agreed otherwise.

07Amendments

We will do our best to accommodate changes after confirmation, subject to availability and any supplier conditions. Amendments may incur additional costs, which we will confirm before proceeding.

08Cancellations & refunds

Cancellation terms vary by the type and timing of the arrangement. As a general guide:

  • More than 60 days before travel — a partial refund may apply, less any non-refundable planning fees.
  • 31–60 days before travel — cancellation charges of up to 50% may apply.
  • Within 30 days of travel — arrangements are typically non-refundable.

Certain third-party bookings (chartered vehicles, particular experiences and accommodation) may carry stricter conditions, which we will always make clear before confirming.

09Partner responsibilities

The partner is responsible for the accuracy of the details provided to us, for ensuring travellers hold valid passports, visas and documentation, for arranging appropriate travel insurance, and for communicating relevant information — including any health, dietary or accessibility needs — to us and to their clients in good time.

10Acceptable use

In dealing with us, partners agree not to: provide false or misleading information; breach applicable laws or third-party rights; misuse confidential or commercial information obtained through our services; or, without our written consent, approach or transact directly with suppliers we have introduced in order to circumvent us. We may suspend or end services where these are breached.

11Third-party suppliers

Some services are delivered by independent suppliers. We select them with care and coordinate them on your behalf, but their own terms may also apply, and matters genuinely beyond our control remain their responsibility.

12Confidentiality & white-label

We work white-label and keep our involvement confidential where requested. Each party will protect the other's confidential and commercial information and use it only for the purpose of the engagement.

13Intellectual property

All content we produce — itineraries, proposals, written material, and the KRÖFT name, marks and website — remains our property or that of our licensors. Partners may use materials we provide for the purpose of selling and delivering the relevant journey, but may not reproduce, resell or repurpose them otherwise without our written consent.

14Liability

We accept liability for the services we directly control where we have failed to provide them with reasonable care and skill. To the extent permitted by law, we are not liable for indirect, incidental or consequential loss, loss of opportunity, or for the acts or omissions of independent third parties. Nothing in these terms limits any liability that cannot be limited by law.

15Force majeure

We are not responsible for failure or delay caused by circumstances beyond our reasonable control, including natural events, pandemics, transport disruption, strikes, civil disruption, government action or technical failure. We encourage partners to ensure their clients hold suitable travel insurance.

16Privacy

Personal information is handled in line with our Privacy Policy, which forms part of these terms.

17Changes to these terms

We may update these terms from time to time. The date above reflects the latest version, and changes take effect once posted on this page or notified to you. The terms in force when a booking is confirmed govern that booking.

18Governing law & contact

These terms are governed by the laws of Japan, and any disputes fall under the exclusive jurisdiction of the courts of Japan. Our usual business hours are Monday to Friday, 10:00–18:00 (JST); enquiries received outside these hours are handled the next business day. For any question, write to us at [email protected].
